What is n8n?

n8n is a workflow automation platform for connecting services, transforming data and adding AI steps to a repeatable process, such as summarizing incoming messages into drafts for review. It combines a visual workflow with code where needed and offers managed or self-hosted deployment. The free self-hosted Community edition has license limits on some commercial uses, and connected services can add costs.

What can you automate with n8n?

n8n connects a series of actions into a workflow and supports AI-related nodes alongside integrations. You can inspect inputs and outputs at each step and use JavaScript or Python when a visual configuration is not enough. This is useful for a process where fetching data, transforming it and deciding what happens next should remain visible.

A sensible first application is an internal research inbox: collect an approved input, prepare a short summary and store a draft for review. Keep the model responsible for the part that needs interpretation, while ordinary workflow logic handles known conditions. This is an editorial workflow suggestion, not a claim that a ready-made template implements your organization’s rules.

Try one workflow with test records

Suggested workflow: map one process on paper with its trigger, inputs, output and owner. Build the smallest working version with test records and one destination. Inspect each step’s data before connecting the next one, especially where a model turns free text into fields used by later actions.

Test an empty input, an unavailable service and a duplicate event before leaving the workflow active. Decide where a person needs to review a result and how to stop or retry a failed run. Keep the first output as a draft or internal record. The useful trial is a process you can explain and recover, not simply an impressive chain of connected boxes.

Cloud, self-hosting and operating costs

n8n offers managed plans priced around monthly workflow executions, with different allowances and administration features. It also has a self-hosted Community edition governed by its Sustainable Use License. n8n’s licensing guidance covers free use where only people in your organization create or edit workflows, and requires a commercial license if outside people can build or configure workflows, or to host n8n as a service or white-label it. Confirm your intended deployment with n8n.

Self-hosting still needs a maintained server, backups and credential management. A workflow can also call separately billed model or application services. Compare the complete operating cost and available controls. Zapier is another candidate for a hosted automation workflow; use the same real process to compare setup, limits and recovery rather than comparing subscription prices in isolation.

What stands out

  • Visual workflows with JavaScript or Python options
  • Per-step inputs, outputs and execution inspection
  • Managed cloud and self-hosted deployment choices

Before you choose

  • Self-hosting includes operational work and infrastructure costs.
  • The Community edition has a specific use license, not unrestricted reuse rights.
  • Budget for external services and model calls used in the workflow.
