What you will have at the end

You will have one Gemini chat that holds a PDF report, a slide deck and a spreadsheet, a short summary of each with page or slide references, a chart built from the spreadsheet that you can edit, and a list of figures you have checked against the originals. The steps follow Google's Gemini Apps Help article on uploading files, read on October 31, 2026.

Before you start

Check these points so the upload does not fail halfway.

  • Sign in to the Gemini app at gemini.google.com; file upload needs a signed-in account.
  • Each file can be up to 100 MB; videos up to 2 GB. Up to 10 files per prompt, subject to availability.
  • To add files from Google Drive, Keep Activity must be on and Google Workspace connected to Gemini Apps.
  • On a work or school account, your Workspace administrator must allow apps in Gemini for Drive uploads.
  • Free accounts have lower limits on how many files you can upload and how many chats can use them; Google AI plans raise them.

1. Upload the files

Open gemini.google.com, type your question in the box at the bottom, then click Add files. Choose Upload files for files on your computer or Add from Drive for documents, slides and sheets stored in Drive. You can mix types in one prompt, for example a PDF, a PPTX and an XLSX. A ZIP file also works if it holds up to 10 files, stays under 100 MB and contains no audio or video.

2. Ask questions that point to the source

Gemini answers from the uploaded content, but you check the result faster when every claim carries a location. Ask for page numbers for a PDF, slide numbers for a deck and sheet and column names for a spreadsheet. Ask one task per prompt: a summary first, then a comparison, then a calculation. Tell Gemini to answer only from the files and to say when information is missing; otherwise it may fill gaps with general knowledge. Files stay in the chat, so follow-up questions can refer to them without uploading again, within your plan's limits.

3. Build a chart from a spreadsheet

In the Gemini web app you can ask for a chart based on an uploaded spreadsheet, zoom in, and change it. Below the chart, click Edit, describe the change, such as a different chart type or new labels, and click Update. Name the exact columns you want plotted so Gemini does not guess.

Charts work from data Gemini can read as a table. If your sheet has several tabs, say which tab holds the data, and if the header row is not the first row, tell Gemini where it starts. For a large workbook, delete tabs you do not need before uploading; a smaller file is faster to analyse and leaves more room in the context window for your questions.

Working with presentations

For a slide deck, Gemini reads the text on the slides and can describe images and charts, but speaker notes and embedded objects may be handled differently from what you see on screen. Ask it to list every slide with its title first; if the count or titles do not match your deck, export the presentation to PDF and upload that instead. You can then ask for a shorter version of the deck as an outline, a list of claims that need a source, or rewritten titles for each slide.

4. Worked example: a quarterly review pack

Suggested example, not a recorded run. Upload three files together: the quarterly report as PDF, the board deck as PPTX and the sales sheet as XLSX. Then send this prompt.

5. Check the output

Gemini can misread scanned pages, merged cells and charts embedded as images, so verify before you reuse anything.

  • Open two or three cited pages and slides and confirm the quoted figures.
  • Recalculate one total from the spreadsheet yourself.
  • Check the chart axis uses the column you named.
  • Confirm Gemini said when something was missing rather than filling the gap.

Common problems and fixes

Gemini failed to analyse the file: Google's advice is to upload it again. If a PDF is a scan, export a text version or split it into smaller files. You've reached your limit for chats with files: wait for the limit to reset or upgrade to a Google AI plan for higher limits.

An upload warning about size or a message that the prompt exceeds the context window: upload fewer or shorter files, or remove sheets and slides you do not need. Add from Drive is missing or fails: turn on Keep Activity, connect Google Workspace in Gemini Apps, or ask your Workspace admin to enable it.

When to use a notebook instead

For a set of sources you return to over weeks, Gemini Notebook keeps them in one notebook with answers grounded only in those sources, and notebooks also appear in the Gemini app. Use a single Gemini chat for one-off questions and a notebook for ongoing research.
