The short answer: Gemini for Google apps, Copilot for Microsoft 365

Choose Gemini if your mail and documents live in Gmail, Docs and Drive: paid Google AI plans put Gemini inside those apps and bundle 400 GB to 5 TB of storage. Choose Copilot if you work in Word, Excel, PowerPoint and Outlook: Microsoft 365 plans add Copilot to those desktop apps with 1 TB or more of storage. Both start free, and both mid tiers cost $19.99 a month in the US.

What was compared and how

Task: everyday individual work, meaning writing, email, spreadsheets and presentations, research and file handling. We compared Gemini's individual plans (Free, Google AI Plus, Pro and Ultra) with Microsoft Copilot and the Microsoft 365 plans for individuals (Personal, Family, Premium and Pro), not the business or work versions.

Evidence: Google's Gemini subscriptions page for the United States and Microsoft's Copilot for individuals page, both read on October 25, 2026. This is a documentation comparison. AppFor.ai has not run both assistants on the same inputs, so nothing below is a measured quality or speed result. Prices are monthly US prices.

Compare the same criteria

Each criterion states what each vendor documents and what it means for the task. Where a page does not say something, we write that it is not established.

  • Free tier. Gemini: the Flash-Lite model, Deep Research, Gemini Notebook and 15 GB of storage. Copilot: Microsoft offers a free tier, and its paid plans are described as giving higher usage than free; the free limits are not established from the page we read. What this means: Gemini's free features are spelled out in more detail.
  • Office apps. Gemini: Gemini in Gmail and Vids from Google AI Plus, and in Docs from Google AI Pro. Copilot: Word, Excel, PowerPoint and Outlook desktop apps with Copilot from Microsoft 365 Personal. What this means: the deciding factor is which office suite you already use.
  • Research and agents. Gemini: Deep Research on Free; Jules, Google's asynchronous coding agent, and Google Antigravity from AI Pro. Copilot: Researcher, Analyst and Cowork, with limited agentic usage on Premium and the highest on Pro. What this means: Google lists coding agents; Microsoft lists research and data-analysis agents.
  • Files. Gemini: Google advertises up to 1,500 pages of file uploads in its paid-plan section. Copilot: Copilot in select apps with work files; an upload limit is not established. What this means: for very long documents, Gemini documents a number; Copilot works on files already in Office.
  • Images and video. Gemini: video generation from Google AI Plus, and Google Flow credits (200 on Plus, 1,000 on Pro). Copilot: AI image creation with higher usage than free on Personal and extensive usage on Premium; video is not listed. What this means: for video, Gemini's paid plans include it.
  • Sharing and storage. Gemini: 400 GB on Plus, 5 TB on Pro, from 20 TB on Ultra. Copilot: 1 TB on Personal; Family shares 2 TB with up to 6 people, but its AI features are for the subscription owner only; Pro has 5 TB. What this means: a Microsoft 365 Family plan does not give Copilot to everyone in the household.
  • Age and account limits. Gemini: Google AI plans are available only to users aged 18 and over. Copilot: an age limit is not established from the page we read. What this means: younger users cannot buy a Google AI plan.

Which fits your real work?

Drafting replies to a long email thread. Gemini fits in Gmail from Google AI Plus at $4.99; Copilot fits in Outlook from Microsoft 365 Personal at $9.99. Choose the one that matches your mailbox.

Analysing a budget spreadsheet. Copilot fits if the file is in Excel, since Copilot works in the Excel desktop app and Analyst is listed on Premium. Gemini fits if the data is in Google Sheets; Sheets is not named on Google's plan list, only Gmail, Docs and Vids, so check before you buy.

Building a small coding project. Gemini AI Pro fits, as Google lists Jules and Antigravity from that plan. Copilot's consumer plans do not list a coding agent; GitHub Copilot is a separate product.

Cost of getting the work done

Gemini, monthly: Free; Google AI Plus $4.99 with 2x the usage limits of Free; Google AI Pro $19.99 with 4x; Google AI Ultra $99.99 or $199.99 for 5x or 20x the limits of Pro.

Microsoft 365 with Copilot, monthly: Personal $9.99; Family $12.99; Premium $19.99 with extensive usage; Pro $99.99, billed monthly only, with the highest usage. Microsoft lists a one-month free trial for Personal, Family and Premium, and yearly billing saves up to 17%.

Like for like on monthly billing: Google AI Pro and Microsoft 365 Premium both cost $19.99, and Google AI Ultra 5x and Microsoft 365 Pro both cost $99.99. Copilot plans include the Office desktop apps, and Google's include storage and Google Flow credits, so what you already pay for elsewhere changes the real cost.

Try both on the same small task

Suggested comparison, not a test we have run: use the free tier of each with the same short email thread you are allowed to share, and the prompt below.

  • Every action item and date matches the thread.
  • Nothing is attributed to the wrong person.
  • The draft reply answers the last open question.
  • Count the edits you needed before sending; one run is a signal, not a ranking.

What would change the choice

Check these conditions before you subscribe. For plans and features, see our Google Gemini profile and our Microsoft Copilot profile.

  • If your household wants AI for several people, Microsoft 365 Family gives Copilot to the owner only.
  • If you are under 18, Google AI plans are not available.
  • If you need the Office desktop apps anyway, Microsoft 365 already includes them with Copilot.
  • If you want AI coding agents in the same plan, Google lists Jules and Antigravity from AI Pro.
